Position Summary
The Facilities & Operations Coordinator plays a critical role in supporting the day-to-day operations of the company across shop, yard, logistics, and facility management functions. This position is responsible for ensuring, offices, and crew accommodations remain organized, maintained, compliant, and operational.
The successful candidate will be a hands-on, resourceful individual who enjoys a dynamic work environment and can balance urgent delivery requirements, facility maintenance, contractor coordination, inventory activities, and operational support. This role serves as a key link between field operations, shop personnel, vendors, and management to ensure company assets and facilities are safe, efficient, and well maintained.
This position Reports to Fleet & Inventory Manager
Key Responsibilities
Logistics & Hot Shot Deliveries
- Perform timely pick-ups and deliveries of supplies, parts, tooling, consumables, and materials between vendors, job sites, company facilities, and internal departments.
- Coordinate urgent delivery requests to support operational requirements.
- Maintain records of deliveries and ensure materials are delivered accurately and safely.
- Conduct routine inspections of company vehicles used for deliveries.
Receiving & Inventory Support
- Assist with receiving, unloading, inspecting, and staging incoming shipments.
- Verify quantities, condition, and accuracy of received goods against purchase orders and packing slips.
- Support cycle counts and inventory audits.
- Maintain inventory records and assist with stock replenishment activities.
Tool Crib & Asset Management
- Assist with issuing, tracking, and returning tools and equipment.
- Maintain organization, cleanliness, and accountability within the tool crib.
- Support tool inventories and maintenance schedules.
- Assist with tagging, labeling, and tracking company assets.
Shop, Yard & Storage Organization
- Maintain clean, safe, and organized shop, yard, and storage areas.
- Support housekeeping activities including sweeping, waste disposal, recycling, and material organization.
- Organize laydown areas, equipment storage zones, sea cans, and material storage locations.
- Ensure access routes, emergency exits, and work areas remain clear and compliant.
Equipment Appearance & Maintenance
- Apply company decals to vehicles, equipment, tools, and assets.
- Perform basic painting, touch-ups, surface preparation, and cosmetic repairs.
- Assist with minor maintenance and upkeep of company equipment and facilities.
Facilities Management
Office & Crew House Management
- Coordinate maintenance and upkeep of company facilities including:
- Head Office
- Kamloops Crew House
- Logan Lake Crew House
- Princeton Crew House
- Conduct regular facility inspections to identify deficiencies, hazards, and maintenance requirements.
- Ensure facilities remain clean, functional, safe, and compliant for employee occupancy.
Contractor & Vendor Coordination
- Coordinate and manage third-party service providers including:
- Housekeeping contractors
- Lawn care providers
- Snow removal contractors
- Maintenance vendors
- Trades contractors
- Schedule work, monitor service quality, and ensure completion of contracted services.
- Obtain quotes and assist with contractor selection and procurement processes.
- Maintain service records and contractor documentation.
Building Maintenance & Safety Compliance
- Perform routine facility maintenance and minor repairs including:
- Replacing furnace filters
- Testing smoke and carbon monoxide detectors
- Replacing light bulbs and minor hardware
- Basic plumbing and fixture repairs
- Minor carpentry and general handyman tasks
- Coordinate inspections and maintenance programs including:
- Fire extinguisher inspections
- Fire protection systems
- Emergency lighting
- Safety equipment
- Building maintenance requirements
- Report and coordinate corrective actions for safety concerns and maintenance deficiencies.
- Maintain facility inspection records and compliance documentation.
Health, Safety & Compliance
- Promote safe work practices and maintain compliance with company safety policies.
- Participate in facility and yard safety inspections.
- Identify and report hazards, unsafe conditions, and maintenance issues.
- Ensure emergency access routes, safety signage, and equipment remain operational and accessible.
- Assist with implementation and maintenance of company housekeeping standards.
Skills & Qualifications
Required
- Valid Class 5 Driver’s Licence with clean driver’s abstract.
- Strong organizational and time management skills.
- Ability to prioritize tasks and respond to changing operational demands.
- Strong interpersonal and communication skills.
- Proficiency using basic computer applications and mobile devices.
- Ability to work independently with minimal supervision.
- Physically capable of lifting, carrying, and moving materials and equipment.
- Comfortable working indoors and outdoors in varying weather conditions.
Preferred
- Experience in facilities management, property maintenance, operations support, or industrial environments.
- General handyman skills and experience performing basic repairs and maintenance.
- Familiarity with contractor coordination and vendor management.
- Basic mechanical aptitude and troubleshooting ability.
- Experience with inventory control and tool management systems.
- Forklift certification or equipment operating experience considered an asset.

Compensation
We offer a competitive salary range of $50,000 to $65,000 per year, with starting compensation determined by a candidate’s experience, skills, education, and overall qualifications.
