Our Company: CEC is a growing company based out of Kamloops, BC providing services throughout British Columbia. Our company has a fleet of mobile cranes and industrial equipment that we use for hoisting and installing heavy equipment, specializing in bridge building and rehab. We work in the heavy industrial construction sector. We provide mobile crane services as well as bridges, piling, fabrication, and jack & rolls. At CEC, we believe safety comes first above all. Job Summary: We are seeking a dedicated and Administrative Assistant to join our team. The ideal candidate will be responsible training and orientation requirements. This role requires a proactive individual with excellent communication and organizational skills, capable of collaborating across teams and ensuring compliance with safety regulations.

Responsibilities:

Provide administrative support to the Safety Manager and Safety Department.
Assist in preparing, formatting, and maintaining safety documentation, including policies, procedures, safety letters, and site safety plans.
Maintain accurate and organized records of safety-related incidents, training, certifications, and inspections.
Update and manage the safety training matrix; monitor upcoming expirations and notify employees and supervisors.
Coordinate and book employee safety training, courses, and recertifications.
Support the development and maintenance of safety-related software systems and digital filing structures.
Prepare meeting agendas, take minutes, and assist in facilitating monthly safety meetings.
Assist with new employee safety orientation materials and scheduling.
Monitor Ontraccr entries for completeness and follow-up requirements.
Compile data for reports, audits, and regulatory submissions as directed.
Coordinate communication between the Safety Department, managers, employees, and external training providers.
Support on-site visits by preparing required documentation and tracking follow-up items.
Perform general administrative duties such as filing, scanning, data entry, and correspondence.
